Getting Started with Neksio

Everything you need to go from sign-up to running AI-powered customer conversations — step by step.

What is Neksio?

Neksio is an AI-powered customer engagement platform designed for dealerships, retailers, and service businesses. It connects your business to customers on WhatsApp, Instagram, TikTok, and Facebook through intelligent AI agents that handle inquiries 24/7, qualify leads, showcase inventory, and hand off to human agents when needed.

Create an Account

Follow these steps to create your Neksio account at platform.neksio.com.

Visit the platform

Go to platform.neksio.com in your browser.

Click 'Sign Up' or 'Register'

On the login screen, select the option to create a new account.

Enter your details

Provide your full name, email address, and a strong password. Use a business email you have regular access to.

Verify your email

Check your inbox for a verification email from Neksio. Click the confirmation link. If you don't see it, check your spam folder.

Log in

Return to platform.neksio.com and sign in. You will be automatically redirected to the profile setup wizard.

Tip: Use a business email address (e.g. you@yourcompany.com) — it will appear in notifications sent to your customers.

Set Up Your Profile

After signing in for the first time, you'll be walked through a 4-step onboarding wizard. Complete all steps to unlock the full platform.

1Select Your Business Type

Choose the category that best describes your business (e.g. Car Dealership, Real Estate, E-commerce). This helps Neksio tailor the AI agent's default behaviour to your industry.

  • Use the search bar to find your business type quickly
  • If nothing fits exactly, choose the closest match
  • You can update this later in Settings
2Enter Company Details

Fill in your company information used on your public profile and in outgoing communications.

Your official business name

Country / Location *

Where your business is based

Primary Contact Number *

Main business phone number

3Connect WhatsApp

Connect a WhatsApp Business account. You'll need a WhatsApp Business API number — separate from a regular WhatsApp account.

  • Have your WhatsApp Business phone number ready
  • You'll receive a verification code via SMS or voice call
  • Enter the code in the field provided to confirm ownership
  • Once verified, your number is linked to the platform

Info: You can skip WhatsApp setup and come back later from the Channels section. However, most features require an active WhatsApp connection.

4Verification Processing

Neksio verifies your business details. This is usually instant but may take a few minutes. Once complete, your account status changes to Verified and you can proceed to choose a plan.

Note: If verification takes longer than expected, contact support with your account email.

After your profile is verified, you'll be directed to the Subscription Plans page.

Review available plans

Compare plans side-by-side — look at conversation limits, number of agents, channel integrations, and AI features included.

Click 'Select Plan'

Choose the plan that matches your needs. You can upgrade at any time.

Complete payment via PayPal

Neksio uses PayPal for secure payments. You can pay with your PayPal balance, a linked bank account, or a credit/debit card without needing a PayPal account.

Redirected to your Dashboard

After successful payment, you're automatically taken to your Dashboard — you're all set!

Dashboard Overview

The Dashboard is your control centre. It gives you a real-time snapshot of your business performance.

Tip: Use the date range picker at the top of the Dashboard to filter stats by today, last 7 days, last 30 days, or a custom range.

Inbox & Conversations

The Inbox is where all customer conversations live — WhatsApp, Instagram, TikTok, and Facebook in one unified view.

Filtering Conversations

  • Use the channel tabs (All / WhatsApp / Instagram / etc.) to filter by platform
  • Filter by status: Active, AI-only, Handed off, or Unassigned
  • Search by customer name or phone number

Conversation Statuses

AI-only

AI agent is handling the conversation automatically

Handed off

AI transferred the chat to a human agent

Active

A human agent is actively in the conversation

Unassigned

No agent assigned — needs attention

Assigning Conversations

When a conversation needs a human touch, you can assign it to yourself or a team member.

Open the conversation

Click any conversation in the Inbox to open the chat window.

Click 'Assign to me'

Use the assignment panel on the right sidebar to take the conversation yourself.

Or assign to a team member

Select a colleague from the agent dropdown. They will receive a notification.

Return to AI

Click Return to AI to hand the conversation back to the AI agent for follow-ups.

Replying to Customers

  • Type your message in the reply box at the bottom of the chat window
  • Press Enter or click Send to deliver the message
  • Messages are sent via the same channel the customer used
  • AI-generated messages are tagged with an AI badge for context
  • Customer sentiment and intent are shown alongside each message

Contacts

View & Search Contacts

All customers who have interacted with your business are stored as Contacts.

  • Search by name, phone number, or email
  • Filter contacts by channel (WhatsApp, Instagram, etc.)
  • Sort by name, last interaction, or activity level
  • Click any contact to view their full conversation history

Import Contacts

Bulk import existing customers from a CSV or Excel file.

Go to Contacts → Import

Click the Import button in the top-right of the Contacts page.

Download the template

Download the provided CSV template to ensure your data is in the correct format.

Upload your file

Fill in the template and upload. The platform will validate entries and flag any errors.

Confirm import

Review the preview and click Confirm Import. Contacts are added immediately.

Manage Contacts

Edit Contact

Update name, phone, email, and custom fields from the contact detail page

Merge Duplicates

Select two contacts and use Merge to combine their history into one profile

Export Contacts

Download your full contact list as an Excel (.xlsx) file for offline use or CRM sync

Delete Contact

Permanently remove a contact and all associated conversation history

Inventory

Add a Listing

Publish products or vehicles to your inventory so the AI agent can surface them in customer conversations.

Go to Inventory → Add New

Click the + Add Listing button.

Upload images

Add multiple photos. High-quality images increase customer engagement.

Enter specifications

Fill in the title, model/year, price, features, tags, and location.

Save as Draft or Publish

Save as Draft to review later, or click Publish to make it live immediately.

Publish & Manage Listings

Each listing has a status that controls its visibility.

Saved but not visible to customers

Published

Live — customers and AI agent can see it

Sold

Marked as sold — removed from active listings

Archived

Hidden from all views but data is retained

Tip: Each published listing gets a unique shareable link with a WhatsApp "Enquire" button — share it in campaigns or on social media.

AI Agents

Configure Your AI Agent

Navigate to AI Agents in the sidebar to customise how your AI agent behaves.

Tone & Personality

Set the agent's communication style — friendly, professional, concise, etc.

AI Model

Choose the underlying language model (configured by your account settings)

Temperature

Control creativity — lower for factual answers, higher for conversational responses

Handoff Rules

Define when the AI should escalate to a human agent

Knowledge Base

Upload documents so your AI agent can answer questions using your own business information (RAG — Retrieval-Augmented Generation).

Go to Memory Hub in the sidebar

This is where all knowledge base documents are managed.

Upload documents

Supported formats: PDF, Word (.docx), and plain text. Good examples: product catalogues, FAQs, price lists, policy documents.

Wait for indexing

Documents are automatically processed and indexed. Usually takes under a minute.

Test retrieval

Ask your AI agent a question that should be answered from the uploaded document to verify it's working correctly.

Tools & Skills

Extend your AI agent's capabilities by enabling tools it can use during conversations.

  • Web search — let the agent look up real-time information
  • Inventory lookup — automatically search your published listings
  • Custom API tools — connect your own APIs for live data
  • Calculator — useful for pricing and finance queries
  • Each tool can be toggled on/off per AI agent

Channels

Connect WhatsApp via Meta

Neksio connects to WhatsApp through the Meta (Facebook) Business API. The entire process flows through Facebook — you log in, select your Facebook Page, approve permissions, and link your phone number. Follow each phase in order.

Before you start — you will need

  • A Facebook personal account — this is your login credential for Meta
  • A Facebook Page for your business (you must be the Page Admin)
  • A phone number to use as your WhatsApp Business number
  • The WhatsApp Business app installed on your mobile phone (for QR verification)

Note: If your phone number is currently active on a personal WhatsApp or WhatsApp Business app, you must delete that account first before connecting it here: open WhatsApp → Settings → Account → Delete Account.

Open Channels → Connect WhatsApp

In the Neksio sidebar go to Channels, then click the Connect button next to WhatsApp. A Meta pop-up window opens. Inside the popup, click the Continue with Meta button to begin the Facebook embedded sign-up flow.

Log in to your Facebook account

Facebook's login screen appears inside the popup. Enter the email and password of the Facebook personal account that is an Admin of your business Page. If you are already logged in to Facebook in your browser, this step may be skipped automatically.

Tip: Use the Facebook account that owns or admins your business Page. Logging in with the wrong account means your Page won't appear in the next step.

After logging in, Meta shows a list of Pages associated with your account. Select the Page that represents your business. This Page gets linked to your WhatsApp Business Account.

All five permissions are required. Do not uncheck any of them — Neksio needs every one to send, receive, and route your WhatsApp messages correctly. Click Next to continue.

Info: These permissions are limited to business messaging. Neksio cannot post to your personal timeline, access your personal profile, or modify your Ad account.

Select or create a WhatsApp Business Account

Meta asks whether to use an existing WhatsApp Business Account (WABA) or create a new one. For first-time users, select Create a new WhatsApp Business Account, enter your business name, and click Continue.

Enter your WhatsApp Business phone number

Type the phone number in international format (e.g. +971 50 123 4567). Select SMS or Voice Call to receive your verification code, then click Send Code. Enter the 6-digit code when it arrives and click Next.

Scan the QR code shown on screen

Facebook displays a QR code. On your phone, open the WhatsApp Business app and scan it:
  1. Open WhatsApp Business on your mobile
  2. Tap the three-dot menu Linked Devices
  3. Tap Link a Device
  4. Point your camera at the QR code on your computer screen

Note: The QR code expires after a few minutes. If it times out, click Refresh QR Code to generate a new one.

Enter WhatsApp Business account name and timezone

After the QR scan succeeds, Meta prompts you to set:
  • WhatsApp Business account name

    The display name customers see when you message them (e.g. Einvotca Support). Choose carefully — Meta reviews this name and it may take a few hours to be approved.

  • Timezone

    Select the timezone matching your business location. This affects message scheduling and analytics.

Click Next when done.

Confirm your setup

A summary screen shows everything you configured — your Facebook Page, WhatsApp Business Account name, phone number, and timezone. Review each detail carefully. Use Back to correct anything. When everything looks correct, click Confirm.

Click Finish — you're connected!

Click Finish. The Meta popup closes and you are returned to the Neksio Channels page. Your WhatsApp number will now show as Connected. Your AI agent is now live and ready to receive WhatsApp messages.

After connecting — next steps

  • Set your WhatsApp Business profile photo and description in Channels → Settings
  • Upload documents to the Memory Hub so your AI agent knows about your business
  • Send a test message to your WhatsApp number to verify end-to-end delivery
  • Configure AI Agent handoff rules so human agents are alerted when needed

Info: If your number shows as Pending after finishing, Meta is reviewing your WhatsApp Business display name. This usually resolves within a few hours. You will receive an email from Meta once it is approved.

After clicking Continue with Meta inside the WhatsApp connect flow, Facebook opens in a pop-up. Follow each step below to complete the integration.

After approving permissions, Meta may show a brief summary confirmation screen. Review the details, then click Next and finally Finish. The pop-up closes and you are returned to the Neksio Channels page with your WhatsApp number shown as Connected.

Note: Each social channel requires authenticating with the respective platform. You'll be redirected to authorise Neksio and then returned automatically.

Campaigns

Campaigns let you broadcast WhatsApp messages to a selected group of contacts — useful for promotions, follow-ups, or announcements.

Go to Campaigns → New Campaign

Click + Create Campaign.

Select a message template

WhatsApp requires pre-approved message templates for broadcast messages. Choose from your approved templates or request a new one.

Choose your audience

Select contacts from your Contacts list or create a filtered segment (e.g. all contacts from the last 30 days).

Schedule or send now

Send the campaign immediately or schedule it for a specific date and time.

Track results

After sending, view delivery rates, read rates, and replies in the campaign analytics panel.

Info: Only contacts who have previously messaged your WhatsApp number can receive broadcasts — this is a WhatsApp Business API policy.

Team & Agents

Invite Team Members

Go to Agents in the sidebar

This page lists all current team members and their roles.

Click 'Invite Agent'

Enter the team member's email address and select their role.

The invitee follows the link in the email to create their account and join your workspace.

Roles & Permissions

Each team member is assigned a role that controls what they can see and do.

Owner

Full access — billing, settings, all features. Only one per account.

Agent

Can handle conversations and contacts. Cannot access billing or settings.

Viewer

Read-only access to dashboard, conversations, and contacts.

Settings & Billing

Account Settings

Access Settings from the sidebar to manage your account.

  • Update your company name, logo, and contact details
  • Change your timezone and language preferences
  • Generate API keys for custom integrations
  • Manage connected businesses (if you run multiple locations)
  • View and export audit logs of platform activity

Billing & Plans

Go to Billing in the sidebar to manage your subscription.

  • View your current plan and usage
  • Upgrade to a higher plan at any time — changes are pro-rated
  • Payment is processed securely via PayPal
  • Download invoices from the billing history table
  • If your plan expires, conversations are paused until renewed

Note: To cancel your subscription, contact support at least 24 hours before your next billing date.

Notifications

Configure how and when you receive alerts from the platform.

Go to Notifications in the sidebar to set up alerts for new conversations, agent assignments, campaign results, and billing events. Notifications can be delivered in-app, via email, or via WhatsApp.
